Events - A guide to planning
Any event or activity on a Council road, footpath or reserve requires the consent of Council.
These include but are not limited to:
- Motor sport events
- Cycle racing
- Running races
- All other sporting events
- Walk-a-thons
- Promotional days
- Fund raising events
- Street days, collections, raffles etc.
- Street parties
When to Apply
Applications should be made as far in advance as possible, but the following minimums apply:
Applications for events where a road closure is required should be made at least two months prior to the closure date. This time is required for the correct approvals to be sought and to allow time to advertise calling for objections to the closure. All advertising is at the expense of the organisation requiring the closure. It should be noted as part of the Council's ongoing safety management of the District roads the Land Transport Unit from 1 July 2004 requires temporary traffic management for any activity that:
- Occupies the road carriageway
- That may affect normal vehicular or pedestrian traffic
Applications for events where no road closure is required should be made at least one month prior to the event date, to allow for the correct approvals to be sought.
Applications for raffles and street days should be made at least 2 weeks prior to the date required.
How to Apply
When making your application please provide us with as much information as possible.
- Your name, address and telephone number and e-mail address.
- The name of your organisation.
- Reason for the event.
- Date and time of the event and any postponement date if required.
- Location of the area required.
- Detailed information of what will be placed on the site during the event.
Public Liability Insurance
- Road Closure - required
- Other events - strongly recommended
Insurance shall normally be for a minimum of $500,000.00; in the joint names of the organisers and the Timaru District Council. This is to indemnify the organisers and Council against claims from the public arising from accidents etc. Proof of insurance will be required.
